Meeting Minutes
Members in attendance: Chad and Kristy Hartsell, Scott Yunker, Heather Pate, Steve Braff, Jason Wolfe, Tim and Christa Haskell, Lisa Hall, Matt McBeth, Monty Mensing
1. Call to Order: 6:37pm
Scott Yunker
Tomorrow, Slayden Construction breaking ground of fields and ground with SD. One JV field at 80 field, with another 80 foot if needed and then one 60 foot field for access to all. Cost total is $110,000.00 and with donations only cover about $8,000 from CLL. We can talk to Jimco fencing next year (Monty) and Slayden may assist with time to install.
2. March 15th Minutes Approval: Sent to Exec Board on Sunday 12th at 10:00am

3. Treasurer Report: as of 4-10-09 balance of $23,255.80.
Does not include Reim to SD for Turface of $591, Two Registration Refunds for $160, few Misc items and Deposits (Santiam Memorial Hospital $1600.00). Balance as of Monday $24,289.19.
TOC - since All-Stars are at the same time - President elected not to participate in TOC for Cascade.
4. Player Registration update:
Heather Pate - moved a few kids and satisfied parents, added a few more tBallers, works great. Jr's softball changed one player. Justin Kruse not going to play now - REFUND, Kenny Campbell-scholarship (no refund). Check the cost for Shane Branch - Did he pay?/REFUND?
Christa reminded us that that moving of players is in the regulations but to have notification and approval from the board.
Motion to move Wyatt Oslie from A's and Bailey Boaz from Braves to the Mariners team

5. All-Star Discussion
Policy is try out and managers and coaches select ten players by vote, point system
Majors - each team got one ballot for top ten, kid one getting ten points and then 2nd 9 pts (11-12)
Top ten that are eligible and elect to play All-Stars
Provision that the board oversees the decisions and if a player sticks out then modifications can be made.
Not have private ballots, suggestion by Tim H. We all need to be fair and impartial.
9-10 and are by AA/AAA/Majors all cast ballots.

6. Cascade Tournaments:
a. Tournament status - Heather Pate
No Softball next weekend, 2 cascade in each division and 3 outside - 3 10U, 4 12U, 3 14U
What are a potential loss for these tournaments. Proposed to District 7 for $200 fee and waive age on some teams if needed. Some teams play more times to get the minimum requirements. Everyone here needs to twist some arms to get more teams in. Maybe put in an add for Portland and Statesman (website). Information officer to run an article for Youth sports, $200-250 to run a few ads, Oregonian ($183) Stayton, Monty will run something in Stayton and Statesman, it's on Craigslist now. Better to call folks to get into the tournament, charge $100, and competing with JBO. District administrators contact by Tim H to get the message out again. Chad contacted Reedsport - tournament director to send our way. Dave LeDay will have the second 9-10 tournament team
b. Donations for MVP's, Golden Glove, etc. - Gift Certificate, Baseballs, Food Certificates, Championship shirt, MVP and Golden Glove Shirts are suggested. Could do the pins! Scott - Check with Debbie for different awards that are sitting around to get rid of move three golden glove trophies with ball and do MVP shirts and All-Star shirts by Monty KH look into prices and ordering trophies in addition to get the hot dog and pop
7. Little Cougar Varsity days:
a. Baseball - May 11, Time TBA Cascade vs. Stayton Home game
b. Softball - May 4, Time TBA Cascade vs. Estacada Home game
Kids to come watch with uniforms and get a free hot dog and pop.
8. Open Forum:
Christa - one boy in AAA for boys not to wear jewelry just like girls - safety issue. - Scott send
Lisa - Wyatt's age kids umpire some games and recruit kids to donate back to the league.
Scott talk to board about teaching the kids for the Junior high level kids to umpire the AA, and JV/Varsity to umpire the AAA, and give them all the food that day. For concessions will need to make out cards that coaches hand out, and Parents that umpire. Cascade coaches need to protect them from parents ridicule.

Lisa - she heard, food tabs were taken away and why. Motion from Scott to want to consider or punch card program, Votes, Yes-8 1-No - Punch card motion to have in Issue with dollar increments, Lisa and Suzanne to write policy and send back to the board for approval with sample of punch card.

Lisa - 14 age limit, non-profit and does violate Marion County, this is just a reminder. No kids under that age, not with a parent, etc. It is incumbent upon board members to tell some one to and check the non-profit and Marion county differences. To the best of the ability, try to keep kids out under age 14 from this point forward.
Coaches and board members reduced prices and there families get half price on all Lindy's items.
No more butt's up games, tennis balls and we all have to commit to saying things to these activities and return and instill that the kids are proud of their fields use orange token
Jason Wolfe - Proposal for tarps for the field #2 due to weather and just cover home plate and pitcher mound. Tim says that JV does do this, but if they don't we should. Or purchase tarps for 1st, 2nd and 3rd
Scott contact SD to find out when start putting tarps on field? GI Joes get a few tarps for sale, motion to get 3-4 from Jason pick them up and get 20x20. Motion seconded for $100-$150, seconded and approved.
Scott - Approve to put up the homerun fence for the field 2. Need staff assistance to get this put up. Lovell stated if there is enough fencing left from new fields, then put it on field 5
Tim - Laptop, we need to get another laptop for the weather cam to become in service. Needs to have a Ethernet port and windows XP.
Chad - we need to get the grass cut. Propose that we need to talk to Lovell and Becker for the infield grass to get cut. Someone go to the school board and share this concern.
Cascade fundraiser for $20 per person, per chicken dinner, needs flyer to put on the website. May 9th at Auditorium and Gym.
Note to all coaches to watch varsity games for support. Heather will make a flyer for softball and baseball schedules and the LL varsity days.
Tim - asked all the board members to keep sharing with all members to watch the website for game cancellations.
