Meeting Agenda

Members in Attendance: President, S. Yunker, Heather Pate, Suzanne Wolfe, Jason Wolfe, Kristy Hartsell, Tim Haskell and Steve Braff

1. Call to Order:
        Scott Yunker, president at 7:21pm , late start due to work session that began at 5:00pm for procedures review.
        a. Meeting Rules

2. November Minutes Approval:
        a. Reviewed and approved by majority vote

3. Treasure Report Kristy Hartsell:
a. Little League Charter and Insurance fee paid to Little League Baseball, Incorporated
b. Office expenses (desk, printer, etc.) and Al &Al manuals purchased
c. Full list of expenses attached to balance sheet and provided to Board members
d. Balance as of 12-14-08 - $23,026.56
e. Ordered uniforms and have operation manuals still to order.
f. $896.00 for district 7 for the charter to be paid

4. ASAP Meeting announcement:
        February 2, 2009 at 7:00pm Safety Officers need to bring last years ASAP plan. Meeting at Pioneer fields

5.  Proposal to cover travel and conference cost for Executive Members attending the Oregon State LL Leadership Conference:  January 9, 10, 11th in Portland, Holiday Inn, pay the registration fee and one round trip of fuel costs.  Kristy and Heather to go on Saturday, Scott to go on the whole weekend.  Dully seconded and approved.

6.  Volunteer background forms:
        a. Submit to Carol Miller for record keeping and background check - Kristy has a few ODL's from Exec. Brd members that need to passed to Carol for checks.
        b. Choice point checks for 2008 - still more from 2008, 125 checks going in for 2009
c. Not do background checks if person does not work consistently, more than one time a week.

7. Host 9/10 and Juniors All Stars:  Does the Brd want to host 9/10 and or Jrs All-Stars - verdict is not to volunteer at this time, may do later if needed.

8. Open Forum:
  1. Jason - Equipment
        - whether or not to combine TBall with Girls and Boys.  Hats for girls also, not visors.
        - uniforms maybe not matching on those not full uniforms, order now the 5 uniforms, order the 8 later if really don't match
        - AA girls softball go to ten inch pink safety balls, rather than yellow.  Order 4 boxes - yellow for practice that we have now.
  1. KH - received the Charter Certificate from Scott
  1. Tim H. - do we want to keep the web cam up and running, at this time Scott said it is not a priority due to funding. 
  1. Updating scores - Tim - for team moms to be responsible for updating scores under general guidelines, or have it on the managers and coaches - Set up for Lindy's a notebook for the scores to be updated by the managers and coaches, via website or the notebook, in a timely fashion.  Need to decide who will provide this information.
  1. Heather - Sponsorships - Bulletin boards on Lindy's to get gift certificates to join the league games.  Approval from SD for 3x5 signs on fence.  Mill creek heating sponsorship recieved and T&R Automotive coming from Suzanne soon.
